Dear sir or madam, I am a senior resident physician in your hospital. I am writing
this
with regard to the release of funds , which were allocated by the state to upgrade the maternity ward of the institution. As you know ,

part of the hospital is located in the old wing of our medical facility and there are only 20 beds available for the patients and they face paucity most of the time.
Moreover
, many practitioners who worked in

ward requested a renovation and extension of the department in past years

but much could not be done about

demand, as at that time the main emphasis was to construct a new OPD block. As we all know, the new OPD has become operational

month,
therefore
, now it is our humble request to the management to allocate funds for the necessary changes in the maternity block so that we can serve our patients without any difficulty. The Greeting

Depending on the style and aim of the letter, you will need to adapt your greeting.

Always start an informal letter in the ways:

  • Dear + name
  • Hi / Hello + name

‘Dear...’ is more appropriate, so stick with this.

For a formal letter there are two options for the greeting:

  • Use Dear Sir or Madam if you don’t know the name of the person you are writing to.
  • Use Dear + surname if you do know their name, e.g. Dear Mr Smith or Dear Mrs Jones.
