Start with one clear aim. State the reason for writing in one line, then add the facts in order, and finish with what you want.

Keep a calm tone. Do not use blame words. Say the delay caused me loss rather than 'negligence'.

Fix small errors. Correct spelling and fill in capitals. 'passport' is one word and 'faithfully' is spelled right.
