Dear Sir or Madam, I am writing
this
letter to ask for a favour. I had a meeting in your
hotel
and I left some personal documents there. I came to your
hotel
on May 23 regarding an office meeting. Our
company
book a mini-conference hall for 20 people at 1:00 PM followed by lunch in the
hotel
's restaurant at noon. After that, around 4 PM, we left the
hotel
. As I remembered, I
last
saw those
papers
in the meeting room. Those
papers
are in a black plastic bag and our
company
logo and name are printed on both sides of the bag. Those
papers
are important for me as they have our client's detail which we do not enclose with anyone.
Also
, if those
papers
fall into the wrong hands, it can result in great loss for my
company
. If you can check those
papers
in the meeting room or with your staff and let us know if they found them. You can write a letter or just give us a call at our
company
number. I will arrange a pick up from your
hotel
. I appreciate any help on
this
. Yours faithfully, Parminder Singh

The Greeting

Depending on the style and aim of the letter, you will need to adapt your greeting.

Always start an informal letter in the ways:

  • Dear + name
  • Hi / Hello + name

‘Dear...’ is more appropriate, so stick with this.

For a formal letter there are two options for the greeting:

  • Use Dear Sir or Madam if you don’t know the name of the person you are writing to.
  • Use Dear + surname if you do know their name, e.g. Dear Mr Smith or Dear Mrs Jones.
