You have received a letter from your university of Albion demanding a reason for your absence from an exam. You were ill that day, but failed to submit the evidence. Write a letter to the Examinations Committee explaining your situation. You should include: Apologies for the situation Identification for yourself (Name, Student Number, Case Number) An explanation of what had happened and any possible evidence you may have Possible resolutions to consider.

Dear Examinations Committee, I am writing with regard to my
absence
from the final
exam
of my corporate finance class. My name is Royal Zhang. My student number is 0002345 and the case number for my
exam
absence
is 23567. First and foremost, I wish to apologize for my
absence
.
Furthermore
, I am very sorry that I failed to submit the evidence for my
absence
in a timely manner. I have been hit hard by COVID in the past week, suffering from a high fever and feeling acute muscle pain. My symptoms got so bad
last
Thursday that I had to go to a doctor. Per the doctor's suggestions, I was hospitalized for three days, during which I had limited access to my laptop and student email.
Therefore
, I was not able to inform you about my situation. Nor was I able to email you materials related to my
absence
. Attached please find the positive COVID test results I had on the
exam
day. The results were from both at-home tests and PCR tests at my neighbourhood clinic. I have
also
attached my hospitalization records signed by Dr Kohn from the Stanford Medical Center. As for potential resolutions, I am wondering if it is possible for me to retake the
exam
on another day
?

I understand re-arranging an
exam
could be tricky logistically and if so, would it be possible for me to submit a final paper in lieu of an
exam
? I am, of course, open to discussing any other alternative solutions as well. Again, I sincerely apologize for my
absence
. Kindly let me know if there are any additional materials you need from me. I can be reached via email or phone (+1 202345678) at any time. I look forward to resolving
this
case as soon as possible. Best regards, Royal

Structure your letter

A letter needs to be written using a proper format, including the following:

  • A greeting (Dear sir/madam, Dear John, Dear Mr. Smith)
  • The main body (consisting of paragraphs for each part of the letter)
  • A closing (Yours sincerely, Yours faithfully, Best wishes, Kind regards, Love)

When writing a letter as part of the IELTS General Training Writing Task 1, it is important to include the bullet points presented to you in the question.

All three bullet points need to be presented. And remember that some bullet points contain more than one element. So, make sure to watch for ‘and’ and plurals.
