You and some of your friends want to start a weekly dance club, and you have found a hall that would be suitable to hold your meetings. Write a letter of the hall. In your letter: Explain the dance project Ask if it is possible to rent the hall and under what terms State what day and times you would like to use the hall

Dear sir or madam, My name is Kritika and recently I come across an advertisement that you provided in a newspaper to rent a hall from the
next
month. I am writing
this
letter to express my interest in using your hall for conducting meetings for our dance club. Actually, my friends and I decided to start preparing for dance because we want to participate in the national event. The fact is that we not only have the desire to participate in it but
also
have a dream to win it and in future, we want to start a tango club named ‘DANCE FEVER’. We found the description of your location is apt for our purpose. I want to make clear that we need your hall only for conducting the meetings. You need not worry about the issue that we will start dancing there because we only require it to make some discussion. We will pay you for using your place according to the set terms and conditions. We would like to it use for 3 hours from 5:00 p.m. to 8:00 p.m. during weekends and about 10-20 persons suppose to attend the meetings which are continued for 8 weeks. So, based on above information, I eager to know that if you could rent
this
to us and should you choose to do so and upon what terms and conditions. I am looking forward to hearing back from you. Yours faithfully, Kritika.

The Greeting

Depending on the style and aim of the letter, you will need to adapt your greeting.

Always start an informal letter in the ways:

  • Dear + name
  • Hi / Hello + name

‘Dear...’ is more appropriate, so stick with this.

For a formal letter there are two options for the greeting:

  • Use Dear Sir or Madam if you don’t know the name of the person you are writing to.
  • Use Dear + surname if you do know their name, e.g. Dear Mr Smith or Dear Mrs Jones.
