letter to inform you that I am visiting and staying at your hotel with my team of ten in March

I have been working as a project
manager with this
organisation since 2010, and we recently awarded a project
with the Vancouver-based IT company known as Tech Mahindra. I and my other ten team members have been invited to discuss in detail our new project
by the CEO of Tech Mahindra because we all are working together on this
project

The official meeting will take place at the headquarters of Tech Mahindra in downtown Vancouver on March
5th and 6th in the afternoon; however
, we are planning to stay at your hotel from March
4th until March
7th. Our flight will land in the evening on March
4th and we will check in around 4:00 pm then
departure is on March
7th at noon, so we will check out around 10:30 am.
We are seeking for an accommodation for these three days. We would prefer a private room with sharing bathroom and kitchen. I would appreciate it if you could let us know the availability of ten rooms on the above-specified dates.
