You should spend about 20 minutes on this task. You and some friends want to start a weekly dance club and you have found a hall that would be suitable to hold your meetings. Write a letter to the owner of the hall. In you letter, 1. explain your and your friends project 2. ask if it possible to rent the hall and under the what terms 3. state what day and what timings you would like to use the hall You should write at least 150 words. You do NOT to write any addresses. Begin your letters as follows: Dear Sir / Madam,

Dear Sir, I am writing to you a letter of inquiry about the
hall
, which I and my friends are looking for to start a weekly dance club. I and my friends were discussing starting a dance business on weekends for local people who want refreshment in their life. When we thought about
this
project we survey that there is no dance business in our town.
Then
3 days later we saw an advertisement in the newspaper where you have mentioned that one
hall
is available which size is contains around 30 by 40 feet. So, we are interested in
this
place and it is located in the centre of the town and it is good for us to start our
first
project with
this
magnificent place. Can you please let us know what is the rent for
this
? is and what the terms and conditions are if we borrow
this
hall
for rent? Because we have already set a budget for
this
project and so that reason we need above-asked information. We usually looking
this
hall
only for weekends on Saturday and Sunday and the club times are 8 PM to 11 PM. So, kindly share the above-asked information and based on that we will schedule a meeting for
further
discussion to finalise
this
place. I am hoping that we looking forward positive response from you. Yours Sincerely, John.

The Greeting

Depending on the style and aim of the letter, you will need to adapt your greeting.

Always start an informal letter in the ways:

  • Dear + name
  • Hi / Hello + name

‘Dear...’ is more appropriate, so stick with this.

For a formal letter there are two options for the greeting:

  • Use Dear Sir or Madam if you don’t know the name of the person you are writing to.
  • Use Dear + surname if you do know their name, e.g. Dear Mr Smith or Dear Mrs Jones.
